Full Description
Purpose of the role:
As the Administrator, you will support the Facilities Management team, working with the FMSite Manager and the Head of Facilities Management to ensure the successful delivery of maintenance services.
Responsibilities:
Management of the facilities database, administering and scheduling maintenance tasks and is critical to the timely planning of facilities management activities
Be the key point of contact for the reporting of maintenance tasks, logging and monitoring tasks, ensuring critical tasks are prioritised
Organisation and document management is an essential part of this role, including the filing of maintenance records, quotes and invoices
Support the payment process by managing task costings and preparing cost proposals, setting up new suppliers, coding of invoices, raising purchase orders and processing invoices for payment
Be responsible for creating reports from the Facilities Management system
Skills required:
IT literate, skilled in the MS Office suite of programmes, particularly Outlook, SharePoint & MS Excel would be an advantage
Full training will be given on the CAFM system (Computer Aided Facilities Management)
Adaptable to a changing and varied workload, with competing pressures and influences
An ability to work in a small team without close supervision is essential
