Stonehage Fleming provides a range of services from long-term strategic planning and investments to day-to-day advice and administration to over 250 families of wealth. The Group employs over 500 people in 11 offices in 8 jurisdictions around the world.

This full time role involves close and regular interaction with all members of the Family Office International (FOI) Team, Accountants, Compliance Officers and various external business contacts (including banks, investment houses, lawyers, external accountants and property managers/estate agents). You will report to the relevant FOI Team Leader who is based in Jersey.  

The purpose of this role is the provision of an efficient, professional administrative support service to the Relationship Management Directors, Trustees and Senior Associates.  

You will;
  • Communicate regularly with third party service providers and with various business contacts, including banks, investment houses, solicitors and property managers/estate agents, such communication to be signed off by management
  • Undertake client take on and entity formation/termination;
  • Assist with KYC/CDD information collation and system input for client take on
  • Undertake formation of trusts, companies and foundations
  • Terminate trusts, companies and foundations in any jurisdiction required
  • Be involved in assisting with transfers in/out of entities from/to other fiduciary providers
  • Assist / provide support in client meeting preparations and efficient follow up of general matters arising
  • Be required to handle documentation and resolutions with regard to transactions and restructures
  • Be involved in the drafting of resolutions relating to payments and settlements, with assistance from trustees. Assisting with drafting of Loan Agreements, Powers of Attorney, Facility Documentation, property transaction documents and any other documentation required to facilitate action required
  • Prepare various forms, including Payment request, Investment Recommendation and Bank Account Opening forms if required
  • Liaise with other teams in the Group involved in managing client bank account and investment account documentation
  • Support in the management of compliance issues and maintenance of records ensuring that we satisfy our regulatory requirements plus preparation and supply of due diligence on entities administered to third parties
  • Assist Directors, Managers and Senior Administrators on ad-hoc client requests, administration of entities and projects as they arise and close liaison with Team Leader/Senior Associates on all tasks allocated
  • Assist with work overflow for team members and providing absence cover
  • Assist Directors, Senior Associates and other Associates in investment reviews
  • Liaise with accountants in the both Jersey and Swiss office in order to ensure that financial accounts are prepared and reviewed in a timely manner for regulatory and tax purposes
  • Take part in the continuous review of pending items to ensure timeous follow up and finalisation of tasks providing proper governance around client structures by gaining an understanding of these structure through assisting with day to day activities.  This will include ensuring that all documents are correctly filed and systems updated in accordance with the Group’s policy and procedures.
  • Undertake any other ad-hoc duties that may be required from time to time 
  • You will be educated to undergraduate qualified level; and
  • Possess some experience in the offshore and onshore fiduciary financial services industry
  • Advanced Microsoft Excel and Word plus basic PowerPoint skills
  • Good numeracy skills and a good commercial awareness
  • Solid administration experience  
  • Schedules and manages workload effectively to ensure work is completed on time and to the required standard, thinks ahead, sets plans to achieve goals
  • Supports and works towards team goals, shares information, is helpful and co-operative, works effectively with people outside immediate team

  • Delivers work of a high standard, output is accurate and error free, productivity is satisfactory and consistent. Takes a proactive approach and works on own initiative where possible
