Full Description
We are seeking an enthusiastic, accurate
and well organised Front of House Administrator to help manage the day-to-day
running of our busy office.
As Front of House Administrator, you
will be the first point of contact for visitors and clients, representing our
company in a friendly and professional manner. As part of the wider office team,
you will provide comprehensive administrative support to your colleagues.
We are a small family-owned company
providing accounting, taxation, and company secretarial services to a large
number of local Jersey businesses and individuals.
JOB DESCRIPTION
- Acting as
the first point of contact for all clients and visitors to the business. This
will include managing the booking of meeting rooms and setting up the rooms
prior to client meetings.
- Answering
all incoming telephone calls and transferring callers to the appropriate fee
earner as required or taking messages.
- Organising
in-house and external meetings along with business development activities.
- Typing up
correspondence and preparing documentation of an ad hoc or regular nature.
- Preparing
invoices as directed by the fee earners.
- Ensuring
that all office supplies are kept stocked up and liaising with external
suppliers in this regard.
- Ensuring
all post is dispatched daily and dealing with all incoming and outgoing
couriers and deliveries.
- Undertaking
other administrative tasks as requested by the fee earners.
CANDIDATE PROFILE
You must
have excellent computer skills and have an interest in learning new systems. We
use Microsoft 365, UNITY Elements and a variety of accounting software in our day-to-day
work. You will be
organised with an eye for detail. You should have good communication skills and
be able to deal with people at all levels. You should be proactive in finding
solutions and going the extra mile for colleagues and clients alike. You
should enjoy working in a small office and be prepared to be flexible and accommodating
in your approach. Previous
administration experience within an accounting or professional services environment
is preferred.
