The Group employs over 500 people in 13 offices in 8 jurisdictions around the world. This is an exciting opportunity to join a growing team with scope to provide a value add service proposition to work with clients to develop their businesses.  Our Corporate Services offering utilises a family office approach in the provision of corporate and funds services to our clients with a particular focus on boutique and bespoke solutions.  

 This role involves close and regular interaction with all Stonehage Fleming employees, primarily in the Jersey office but also Group wide and also with clients, promoters, advisors and intermediaries. The incumbent works within the client services area and reports to the Director, Head of Business Services.


 Working on a diverse portfolio of clients to include listed equity funds, private equity funds, property funds, debt funds, managed entities, pension schemes, SPV’s, limited partnerships, listed entities etc this role is ideally suited to a dynamic individual wishing to develop a fulfilling career in a growing financial services firm looking to build on their existing client management skills or to take a step-up from a senior administrator position into a client manager role.   As part of a small team, the purpose of this role is to provide a hands-on professional administrative service to corporate and fund clients whilst being responsible for day-to-day client relationship management as well as project management of client transactions ensuring all client deliverables are met in a timely manner.   The role requires the individual to be well organised and able to work under their own initiative being mindful of both internal and external deadlines.  


Client administration
  • Management and co-ordination of all Fund and Client related matters such as the acquisition and divestment of assets; investor dealing, drawdowns and distributions, reporting, governance regulatory and compliance matters etc
  • Liaison with clients, intermediaries and advisors taking responsibility for being the immediate point of contact for allocated client relationships
  • Administration of all property related matters including quarterly rental flows, liaison with property managers and ensuring the structure is operated in accordance with agreed procedures
  • Provision of company secretarial services across the portfolio including, but not limited to, AIM listed companies, EBTs, property SPV & JPUT structures, GP/LP structures
  • Co-ordinate client board meetings and prepare board meeting materials
  • Attendance at client meetings and preparation of minutes ensuring completion of any post-meeting actions
  • Assisting the Directors with the client onboarding process managing the workflow and associated requirements
  • Responsible for ensuring the maintenance of all statutory and administrative records, including the client profile and transaction log
  • Maintaining the corporate calendar for a structure and ensuring calendar events/requirements are dealt with on a timely basis
  • Arranging payment of fees and expenses in line with contract and executing payments as an authorised signatory
  • Dealing with all day to day correspondence in a timely and professional manner
        Operations / Management:
  • Maintenance of template documents including assistance to develop presentational standards across the team
  • Contributing to the development of Policies and Procedures
  • Manage the billing process, reviewing invoices against contractual arrangements and analysing the time spent vs invoiced amount proposing any changes where considered appropriate prior to Director sign-off;
  • Responsible for the timely collection of fees and pro-active debtor management across the client portfolio
  • Undertake client AML and periodic administrative reviews pursuant to adopted policies and procedures
  • Mentor and support the training of more junior members of staff providing guidance on more complex matters
  • Manage the set-up of new client entities on the relevant systems ensuring appropriate processes are implemented as agreed with the relevant Director
  • Be an authorised signatory
  • Be risk aware ensuring appropriate adherence to risk management policies and procedures having a strong understanding of local regulatory matters
  • Support the directors in business development related activities through assistance with the maintenance of promotional materials and the drafting of client pitch presentations
  • Recognised financial services or other professional qualification, preferably with post qualification experience in a funds / corporate services environment.
  • Real Estate experience or experience in a Funds service environment would be beneficial but not essential.
  • Be proficient in Word and Excel and general MS products including Powerpoint.
  • Experience or knowledge of NavOne would be beneficial but not essential
  • Excellent attention to detail
