Full Description

To assist with the preparation of minutes, incorporations and maintaining client database under the supervision of the Manager.

Key Responsibilities

  • Scanning and filing of board minutes and documents;
  • Maintaining permanent files for each client and document register;
  • Collation of board papers from different sources and creating agendas and board packs;
  • Organising board meetings including booking and setting up of boardrooms & arranging catering
  • Use of Virtual Board Room to create Board Packs;
  • Maintaining and updating databases 
  • Ensuring share registers for non-fund clients are kept up to date and accurate;
  • Setting up new bank accounts
  • Reservation of names and incorporation of companies, filing of special resolutions and other documents with the Jersey Financial Services Commission;
  • Ensuring that Board Meetings control sheet is kept up to date and ensure that for each meeting Minutes are completed and signed.
  • Assisting with annual returns and other reporting
  • General office admin including scanning/photocopying/delivery of documents around St Helier
  • To apply internal risk management procedures  
  • To produce and provide high-quality documents 
  • Ensure that time sheets are completed on a daily basis
  • To achieve chargeability, WIP, recoverability and debtor targets within deadlines set  
  • To meet task deadlines.
  • Any other reasonable duties that may be assigned
