The Executive Support Administrator role is a fantastic opportunity to provide administrative support to the company's employees, focussing on using business software applications to prepare reports, receive and direct incoming calls or emails, arrange business travel, track expenses, and coordinate meeting arrangements. This role is part of a dynamic team of Executive Support Administrators within the Operations team, dedicated to advancing business priorities for Partners and Directors across the Channel Islands (BCI).
This role demands exceptional self-management and personal accountability, along with the skill to prioritise, organise, and handle tasks and workload effectively. The role requires a customer service mindset, strong technical skills, and the capability to stay informed about current and emerging technology.
Core responsibilities include organising client or internal meetings, managing travel arrangements, overseeing stakeholder meetings, preparing and formatting documents, maintaining the firm's Client Records Management system (Salesforce), handling the room booking system, draughting and monitoring stakeholder mailboxes, managing timesheets, ensuring compliance, sharing collective responsibilities, coordinating events, performing ad hoc administration duties, supporting the wider team during planned and unplanned absences, assisting with general office queries, and attending stakeholder meetings.
The ability to take thorough notes and accurately record information is essential, as are qualities like a positive attitude, initiative, passion, good communication skills, teamwork, customer service, professionalism, and a natural curiosity about new and current technology.
