Montrose (www.montroseint.com) works in Africa and Asia delivering
health, education and income generation projects for private companies, United
Nations and Western governments. The
Montrose group operates through a Head Office in Jersey, Channel Islands, and
two regional offices in Uganda and Myanmar, as well as project offices in
several other countries in Africa and Asia. Summary Description of
Position: The position of Finance and Administration Officer will support the
Group Finance and Administration Manager (based in Jersey) in the financial and
accounts management of the Montrose group and its operations, as well as
supporting the implementation of administration strategy, policies and
procedures. Reports

Manager Duties of the Finance and
Administration Officer 1. Finance
Support the Group Finance and Administration Manager and finance
team to prepare month closing and consolidation of project and intercompany accounts
Input financial data in Quickbooks software
Support preparation of accounts for year-end audit where required
Support maintenance of financial records filing
Support the implementation of project budget monitoring and
reporting systems
Support the implementation of tracking systems for payments and
receivables for the company and each project
Support the preparation of financial reports on projects for
clients as required
Receive and review project cash books and receipts
Support tracking of contract invoice schedules
Support the preparation of outgoing invoices and payments
Support the preparation of payments
Support the payroll system and ensure all payroll related filing
is maintained
Other financial support as required
2. Administration
Support human resources processes and procedures, including
reviewing and assessing applications for positions, coordinating the
recruitment process, drafting Terms of References and contracts for employees
and consultants
Support the implementation of HSSE and ethical conduct policies
and procedures
Support insurance cover review and renewal processes
Coordinate logistical arrangements for travel to and from Jersey,
including flights, accommodation, transport etc.
Provide logistical support to projects as appropriate, including
flight and accommodation bookings, visa arrangements, procurement etc.
Manage and update company personnel contact list
Coordinate post and courier deliveries as required
Maintain inventory of office stationery and consumables for Jersey
office
Coordinate the procurement of office stationery and consumables
for Jersey office
Coordinate repairs or replacements of office equipment/furniture/supplies
as needed
Ensure the Jersey office is well maintained and cleaned/tidied
routinely
Other administrative responsibilities as required
3. Project management support
Provide support on ongoing projects, when
appropriate, including hiring of consultants, work-planning/scheduling, budget
management, reviewing and proofing of reports.
Essential Skills and Qualifications
Relevant university degree
Some directly relevant experience in finance/accounting/bookkeeping
Proficiency Microsoft Office package especially
Excel Excellent written and spoken English
Ability to work independently and also within a
small team
Demonstrated problem solving and organisational
skills, initiative and creative thinking
Desire to learn and take on new challenges
Interest in international development
